At Dove House Hospice Ltd trading as Your Charity Lottery, the protection of personal data is of paramount importance.  We pride ourselves on being open and transparent with you about how your information is used and the processes we adopt to ask for financial support.


The way we ask for and use information is governed by the laws, codes and guidance laid out by the data Protection Act 1998, the Privacy and Electronic Communication Regulations 2003, the Fundraising Regulator and the General Data Protection Regulations, due to be law on 25th May, 2018.  Our intention is not only be to compliant but also user friendly to ensure our supporters only receive the information they are interested in.


In this Privacy Policy we explain the things which we think are important for you to know about the personal data we collect from you, the purposes for which we use your information and how we protect your data.

To process transactions between us including the purchase of tickets to the draw

Dove House Hospice Ltd trading as Your Charity Lottery doesn’t currently use cookies but may look to do so in the future to record information about how you access our website for statistics solely for us, our beneficiary charities, sponsors and affiliate advertisers.   Companies who provide us with payment or raffle services may use cookies.  Please refer to their Privacy Policies for details.   To the extent that these cookies contain personally identifying data, this will be limited to IP addresses only.  You can choose not to accept cookies by setting the preferences on your internet browser.  If you do not accept cookies from us this may impair or prevent some or all of the services which we provide to you.

What information we collect


The type and quantity of information we collect and how we use it depends on why you are providing it.  Typically this may include:

Your data of birth

Your bank or credit card details (please note these are destroyed after use and are not stored)


Where it is appropriate we may also ask for:


Your account details

How you heard about the event/activity/charity

Why you chose to support the beneficiary charity (this will never be a mandatory field)


We may also use your personal information to detect and reduce fraud and credit risk.


Who we disclose your personal data to


We will not disclose your personal information to anyone save for the following purposes:

We will disclose your personal data to law enforcement agencies or regulatory bodies if we believe that you are involved in any illegal or harmful conduct or we are required to do so by law or believe that such action is necessary to:

Protect and defend our rights and property or that of our customers

Protect the personal safety or property of our customers or the public


We may employ other companies from time to time to provide services for us, including for example, processing of payments in order for us to be able to provide our services to you.  These companies have access to the personal information needed to perform their functions and not for any other purposes and are bound by confidentiality agreements not to disclose any information for any other purpose.


If at any time we wish to disclose your personal data in circumstances other than those detailed, we will always obtain your consent before doing so.

Your rights in relation to your personal data


You can request to access the data we keep on you at any time.  To access this information we will require proof of identity.  Please contact 01482 785781 or email to discuss your requirements.  We will respond to all requests within 28 days.


If you believe that any of your personal data held by us is incorrect then you can contact us to amend your personal data.  You can also request that we delete some or all of your personal data which we will do on your request save where we are required by law to keep records.


Our safe keeping of your data


Your data is kept securely at all times to protect from unauthorised access or from accidental loss or corruption.  The details held on databases are only accessible to appropriately trained staff and volunteers.  Only those who need to access this information as an essential part of their role have access.  All access is tracked through individual log-ins.  Our databases are held on secure servers and information is routinely monitored.


If a third party supplier is used we will ensure that their data collection is at the same level of security as ours and keeps your details safe.  We will ensure there is a secure transfer of data to and from a third party (ie; password protected downloads of emails) and we will ensure we know how the data is being disposed after use.  We will not enter into any agreements with third parties should we feel their approach to using data is less stringent than our own.  Please note that our storage of your personal data is incidental to our provision of service to you and does not absolve you of your responsibility to back up your important information.


How to unsubscribe


We are committed to protecting the privacy of participants.  Personal information that is collected from participants is used lawfully in accordance with Data Protection Act 1988. As well as processing your Draw entries, Your Charity Lottery and the beneficiary charity/society may also use your information to contact you with news and fundraising updates.  In providing your information to us, you consent to us, or the beneficiary charity/society using your information for these purposes.  If you do not wish to be contacted in this way, please email us at

We may change this Privacy Policy from time to time.  If we make any material changes we will place a notice on our website and such changes will be posted on this page in order that you are always aware of the information we collect, how we use it and under what circumstances we may disclose it.
